The University of Warwick
Warwick is one of the UK’s leading universities, with an acknowledged reputation for excellence in research and teaching, for innovation, and for links with business and industry. They have been using Convene since 2019.
Sophie Black, Governance Manager, Governance, Assurance and Risk Group, shares the intuitive functionality and scalability of Convene.
Need for a Secure Solution
The main drivers behind the implementation of a board portal solution were to ensure optimum levels of information security (highest priority), followed by improved functionality and experience for committee members, as well as increased efficiencies and environmental sustainability (reduction in hard copy packs!).
We considered seven other products at that time and as part of the procurement process, we were impressed by Convene’s range of features and potential.
Users access Convene via University single sign-on which also reduces the need for multiple passwords. Moving away from hard copy meeting packs has further reduced information security risks.
Who Currently uses Convene?
We use Convene for a number of the University’s formal committees, including the University Council, Council sub-committees, Senate and University Executive Board.
Useful Range of Features
Committee members like being able to access committee packs in one place and find the user functionality very useful. For admin users, the agenda functionality (moving items, drag and drop to add documents to an agenda and auto-numbering) as well as the ability to automatically build a meeting pack, without having to manually combine and link to documents, are invaluable.
We also use the Document Library and the Enterprise Search features which are great.
Smooth Support Processes
The learning process was smooth overall, and we were very happy with the standard of Convene’s Account Management. We still have a good relationship with Gemma Walford our original Account Manager.
