Padenga Holdings Limited is a Zimbabwe-based company with two operating units: Padenga Agribusiness and Dallaglio Investments. While the mining business provides diversification, the company’s agribusiness operations, which are centred on premium crocodilian skin production, remain a core pillar of its identity as a global company.
Operating three farms along the shores of Lake Kariba, Padenga has invested heavily in world-class infrastructure and technology to support efficient, data-driven operations. This commitment to innovation is guided by the company’s core values of foresight, insight, and oversight — ensuring strong performance, disciplined management, and effective governance across the business.
At the board level, this emphasis on oversight translates into a structured approach to decision-making, where timely access to accurate information is essential. However, with board members located across different parts of the country, managing and distributing board materials became increasingly complex, so they made a call for a more modern, technology-driven solution.
The Challenge to Manage Multi-Location Board Operations
Before 2024, staff printed, collated, and mailed board packs to directors across Zimbabwe. This paper-based process took up valuable time and often led to delays or errors. Ensuring every director had the latest documents was another challenge, adding stress to the administrative team during each meeting cycle.
“Coordinating and collating hard copies of board packs timeously was a real challenge,” recalled Padenga’s administrator. Hence, the need for a secure and efficient system to manage documents and workflows became critical to maintaining governance standards.
Finding a Solution: Evaluating Board Management Portals
Padenga recognised the need to move beyond paper-based processes and began searching for a board portal that would offer both usability and security. The HR Executive led the effort, reviewing several options, including Diligent. Convene Board Portal quickly emerged as the top choice, thanks to its simple design and comprehensive features, but its simplified document management sealed the deal for Padenga.
“As an administrator, the winning feature is the ease of loading documents on the portal,” they shared.
The Solution: Digital, Secure, and Centralised Board Processes
The goal in implementing Convene was straightforward: eliminate manual, paper-based workflows, improve coordination among geographically dispersed board members, and strengthen governance through a more structured and reliable system.
“Convene has helped streamline this process with the touch of a button,” the administrator shared.
These improvements are evident across several key areas of Padenga’s board operations, including:
Faster, More Efficient Meetings Through Centralised Access
By moving to a fully digital platform, Padenga has significantly improved how board meetings are prepared and conducted. All materials are now stored in one secure location through Convene’s Document Library, ensuring that board members always work from the latest version of documents.
This centralised access allows directors to review materials ahead of time, leading to more focused discussions and faster decision-making during meetings. Features such as agenda pre-meeting review and minute-taking further streamline the meeting process, reducing delays and improving overall efficiency.
Reduced Administrative Burden and Operational Costs
One of the most immediate impacts of Convene has been the reduction in administrative workload. Tasks that once required extensive time, like printing, collating, and distributing board packs, have been replaced by a simple digital workflow. Built-in tools such as Agenda Builder and Minute-Taker enable administrators to organise agendas efficiently and capture important discussions more accurately.
“The transition from paper-based has been life-changing for me. I have saved more time, more resources, and general stress-related issues during the time of collating board packs,” the administrator explained.
Stronger Board Engagement and Collaboration Across Locations
With board members located in different parts of the country, Convene has made it easier to stay aligned and engaged. Directors can securely access documents anytime, collaborate on materials, and respond to board matters without being limited by location.
This improved accessibility has strengthened participation and ensured that decisions can be made more efficiently, even outside formal meetings.
Padenga Recommends Convene Board Portal as a Sustainable, Scalable Solution
Since adopting Convene, Padenga has expanded the platform across all its companies. Board operations are now more efficient, transparent, and collaborative. Directors and administrators can focus more on strategic decisions instead of administrative work.
“I would definitely recommend Convene to other organisations. As an administrator, this has been a life-changing function,” the administrator said.
For that reason, Padenga will continue to use Convene to support its governance framework and maintain efficient operations in the years to come.
