Are Board Portals Right for You?

The pace of technology adoption is speeding up especially with smartphones. According to MIT Technology Review, smartphones, “after a relatively fast start, have also outpaced nearly any comparable technology in the leap to mainstream use. Smartphones have gone from 5 percent to 40 percent in about four years, despite a recession.” This piece of crucial information begs the question: Is the smartphone the fastest-spreading technology in our history so far? The answer seems to be a resounding yes.

In line with that, we’re willing to bet that most — if not all — members of your corporate board have their own personal smartphones and maybe even tablets. But have they transitioned to the board portal yet? For the corporate board, the next logical step after acquiring mobile devices is to move from paper-based board meetings to a paperless board portal. However, not all corporate boards are the same. Some are ready for the board portal, while others need more help with the transition. So the important question now is this: How can you tell if your corporate board is ready?

Ideally, the best time to move to a board portal is now, but you’ll know when your directors are ready for it when:

They already actively use their smartphones and tablets.

Directors who are comfortable with mobile devices will find it easy to adjust to the board portal. For them, the board portal will be just another app in their roster. They’ll still need training on how to use the board portal, but because of their prior knowledge on how to use mobile devices, the learning curve will no longer be that steep.

They prefer to use their own mobile devices for work.

Directors have their own preferences when it comes to operating systems. Some prefer iOS, others prefer Android. Then there are those who are happy and content with Windows PC. Instead of trying to get them all to agree on one official OS to use, you can accommodate their preferences with a board portal that works on multiple platforms, like Convene, a paperless and remote board meeting solution that works on iPads, iPhones, Android devices, and Windows PCs.

They are based in different locations.

Has it always been a logistical challenge to get your directors in one place because they’re based all over the country (or around the world)? Then it’s high time for the board portal. They have a lot of documents to go through.

An effective corporate board is efficient, but too much precious time is spent on rummaging through papers or desktop folders. How can your directors be efficient if they can’t pull up the information they need right away? Your corporate board should have a secure and organized repository of all their past and present meeting documents that can be easily retrieved whenever necessary.

They want to improve communication among themselves.

You know your corporate board is ready for the board portal if members are voicing out their frustration over how difficult it is to touch base with their fellow directors. This means that they’re up for a change as long as it makes processes run better. There’s always room for improvement, especially when the current approach leaves much to be desired.

They are curious about the board portal.

If the interest comes from your corporate board, then by all means, encourage that! Not all directors are receptive to change, so when the initiative to try out new technology comes from your corporate board, consider yourself lucky. You’ve got a corporate board that’s willing to take risks for the sake of innovation.
